What this policy covers

CoachlyHQ helps youth sports coaches manage sessions, players, and parent communications. This policy describes what personal information we collect, how we use it, and your rights.

Information we collect

Coach accounts: name, email, phone, coaching bio, locations, weekly availability.
Players (added by parents): child's name, date of birth, sport role, medical conditions and allergies (where provided), media consent, parent contact details.
Sessions and notes: session schedules, attendance, coach notes about player progress.
Feedback you submit: the message you send us in the app, together with your role, app version, and device platform.
Auth + technical data: hashed one-time sign-in codes, bearer session tokens, push-notification tokens, IP addresses for rate limiting, basic product-usage analytics, and crash diagnostics.

How we use it

Run the service: scheduling, parent invites, coach notes.
Send transactional messages: one-time sign-in codes (email or SMS), registration confirmations, and session-note notifications.
Improve and secure the platform: error logging, rate limiting, abuse prevention.

We do not sell personal information.

Children's data

Player profiles are entered and managed by their parent or legal guardian. Children do not have direct accounts. Parents can request deletion of their child's data at any time by emailing support.

Note visibility

Coaches can post two kinds of session notes:

Group — visible to all parents whose child was in that session.
Private — visible only to the parent of the player the note was written for.

Each note in your parent portal is tagged Group or Private so you can see at a glance who else can read it.

Your rights

You can access or correct your information at any time from the app or your portal. You can permanently delete your account and the data you own from the app (Settings → Delete account), or by emailing support@coachlyhq.com.
